Estamos buscando un Asistente Administrativo Ejecutivo altamente organizado y proactivo para unirse a nuestro equipo. Responsable de proporcionar soporte administrativo, operativo y de secretaría a empleados de nivel ejecutivo y country chair, a su equipo directivo directo y áreas asignadas, garantizando el funcionamiento eficiente de las operaciones, la comunicación y la gestión administrativa de la oficina y sus instalaciones.
Responsabilidades principales
• Brindar asistencia administrativa y de secretaría directamente a ejecutivos actuando con confidencialidad, tacto y diplomacia.
• Recepción oficina: control de ingresos y accesos, atención a visitantes, manejo de entregas, correspondencia, recepción de facturas y filtrar y direccionamiento de llamadas telefónicas, correos electrónicos y comunicaciones entrantes. A su vez, custodiar las instalaciones físicas (oficina Medellín y apoyo parcial a bodega), asegurando el orden, control y adecuada operación de los espacios.
• Organizar y coordinar viajes de negocios, reservas, logística y agendamiento de transportes locales para directivos y visitantes. Y a su vez planificar, coordinar y gestionar la logística, organización y pago de eventos corporativos, reuniones de oficina y actividades institucionales.
• Controlar el suministro y reposición de consumibles de cafetería, aseo y papelería, tanto para la oficina como para la bodega.
• Seguimiento a los gastos administrativos, apoyando el control presupuestal y los reportes requeridos, y a su vez atender y gestionar solicitudes de servicios integrales para las partes interesadas, incluyendo el seguimiento de tickets en plataformas corporativas (por ejemplo, RTTMS u otras).
• Gestionar tableros de control, informes mensuales y brindar apoyo administrativo a proyectos funcionales o especiales, y a su vez, participar en la implementación y cumplimiento de políticas, prácticas y estándares administrativos definidos por la organización.
• Administrar la bandeja de entrada del buzón de recepción de facturas, asegurando su correcta distribución, registro oportuno y seguimiento en los sistemas definidos (por ejemplo, Novosys).
• Gestionar solicitudes de procurement en los sistemas corporativos (Novosys), bajo instrucción de los administradores de contratos y de acuerdo con los lineamientos del área de Finanzas, y a su vez, administrar archivos, registros, calendarios, agendas y documentación administrativa, tanto física como digital.
Requisitos:
• Formación en Administración, Secretariado Ejecutivo o carreras afines
• Debe contar de 2 a 5 años de experiencia en roles similares.
• Dominio del inglés, bilingüe. (excluyente).
• Proactividad: Demuestra iniciativa y anticipa necesidades, tomando acción sin ser solicitado.
• Habilidades Organizativas: Capacidad para gestionar múltiples tareas y priorizar eficazmente.
• Habilidades de Comunicación: Excelente comunicación verbal y escrita en español e inglés.

About the Role

We are seeking a highly organized and proactive Executive Administrative Assistant to join our team. This role is responsible for providing administrative, operational, and secretarial support to executive-level employees—including the Country Chair and their direct leadership team—as well as assigned functional areas, ensuring the efficient functioning of operations, communications, and administrative management for the office and its facilities.
Key Responsibilities
• Provide direct administrative and secretarial assistance to executives, acting with confidentiality, tact, and diplomacy.
• Office Reception: Manage visitor entry and access control, greet visitors, handle deliveries and correspondence, receive invoices, and screen/route incoming phone calls, emails, and communications. Additionally, oversee the physical premises (Medellín office, with partial support for the warehouse), ensuring the orderliness, security, and proper operation of the spaces.
• Organize and coordinate business travel, bookings, logistics, and local transportation arrangements for executives and visitors. Furthermore, plan, coordinate, and manage the logistics, organization, and payment of corporate events, office meetings, and institutional activities.
• Monitor the supply and replenishment of office consumables, including cafeteria supplies, cleaning products, and stationery, for both the office and the warehouse.
• Track administrative expenses, supporting budget control and required reporting; additionally, handle and manage requests for integrated services from stakeholders, including tracking service tickets on corporate platforms (e.g., RTTMS or similar).
• Manage dashboards and monthly reports, and provide administrative support for functional or special projects; furthermore, participate in the implementation of, and ensure compliance with administrative policies, practices, and standards defined by the organization.
• Manage the invoice receipt inbox, ensuring proper distribution, timely recording, and follow-up within designated systems (e.g., Novosys).
• Manage procurement requests within corporate systems (Novosys), under the instruction of contract administrators and in accordance with Finance Department guidelines; additionally, manage files, records, calendars, schedules, and administrative documentation—both physical and digital.
Requirements:
• Education in Business Administration, Executive Secretarial Studies, or related fields.
• Must have 2 to 5 years of experience in similar roles.
• Proficiency in English, bilingual (mandatory).
• Proactivity: Demonstrates initiative and anticipates needs, taking action without being prompted.
• Organizational Skills: Ability to manage multiple tasks and prioritize effectively.
• Communication Skills: Excellent verbal and written communication skills in both Spanish and English.
• Attention to Detail: High level of accuracy in managing documentation and data.
• Time Management: Ability to manage time efficiently and meet deadlines.
• Technical Proficiency: Mastery of Microsoft Office Suite.
