Senior Analyst – Document Control and Information Management

About the role
We are looking for an experienced and detail-oriented Senior Analyst – Document Control and Information Management to support the accurate, controlled and compliant management of project documentation.
The selected individual will work alongside Information Controllers and the broader Information Management team to maintain document integrity, support project teams and ensure compliance with quality, regulatory and organisational requirements throughout the document lifecycle.
What the role entails
The role is a strong opportunity for an experienced document control professional who understands controlled document workflows, Electronic Document Management Systems and the quality requirements associated with engineering and asset-intensive environments.
Success in this role will require strong attention to detail, sound judgement and the ability to manage large volumes of controlled documentation. The successful candidate will ensure that documents are correctly registered, classified, stored, reviewed, approved, distributed and archived.
The role will also support document audits, compliance reviews, workflow improvements, digitalisation initiatives and stakeholder queries.

Scope
Your scope will include, but is not limited to, the following:
Document registration and control
- Receive, review, classify and register incoming and outgoing project documents in accordance with defined naming conventions, taxonomy and metadata standards.
- Maintain an organised and systematic filing structure within the EDMS or Information Management System to support accurate and timely document retrieval.
- Track document revisions and ensure that only the latest approved versions are circulated across the project and organisation.
- Update and maintain document control logs, registers and metadata to ensure that records remain current, accurate and auditable.
- Control access to documentation and safeguard confidential or sensitive information in accordance with company policies.
Quality and compliance
- Ensure that documents meet applicable internal quality and compliance standards before distribution or filing.
- Support internal and external audits by retrieving documentation and verifying compliance with regulatory and industry requirements.
- Support the implementation and maintenance of document control procedures, standards and work instructions.
- Identify and escalate non-conformances, version-control issues and document-quality risks to the appropriate Information Management stakeholder.
- Maintain accurate audit trails and records in support of compliance requirements.
- Maintain document control logs, registers and filing systems to audit-ready standards.
Document distribution and stakeholder support
- Distribute documents to relevant stakeholders in a controlled and timely manner.
- Coordinate with engineers, project managers and other departments to facilitate document approvals.
- Ensure that document review and approval workflows are completed correctly.
- Act as a point of contact for document-related queries from authors, business users and project teams.
- Guide business users on document submission, retrieval, naming, classification and compliance requirements.
- Provide consistent and responsive service to geographically dispersed stakeholders.
Continuous improvement
- Identify opportunities to improve document control processes, filing structures and workflow efficiency within the Information Management System.
- Contribute to the development and delivery of document control training and awareness sessions for project team members.
- Support the Information Management team with broader workflow improvements and compliance initiatives.
- Support digitalisation and automation initiatives associated with Information Management governance.
- Contribute to the development and maintenance of standards-related knowledge bases, workflows and AI-enabled support tools.
- Promote process simplification and standardisation across document control activities.
About yourself
We are looking for candidates with:
- An associate’s or bachelor’s degree in Information Management, Engineering, Business or a related discipline, or equivalent professional experience.
- More than four years of experience as a Document Controller or in a similar document control role.
- Experience within engineering, construction, oil and gas, or another asset-intensive industry.
- Proficiency in document management platforms and EDMS solutions such as ALIM, SharePoint, Documentum, OpenText or an equivalent system.
- Strong knowledge of document registration, classification, version control, naming conventions and metadata management standards.
- A clear understanding of the complete document lifecycle, including creation, review, approval, distribution, maintenance and archival.
- Experience maintaining document control logs, registers, filing systems, metadata and audit trails.
- Familiarity with quality-management and compliance frameworks relevant to engineering and asset-intensive industries.
- Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, Visio and Outlook.
- Strong attention to detail and a methodical approach to document processing and quality control.
- Strong organisational and time-management skills.
- The ability to manage competing priorities and large volumes of controlled documentation.
- Excellent written and verbal communication skills.
- Strong stakeholder engagement and customer-service orientation.
- The ability to work independently while collaborating across geographically dispersed teams.
- The ability to handle confidential or sensitive information with discretion.
Desirable experience
- Certification in document control, records management or information governance.
- Four to five years of relevant experience, including experience in a shared-services environment.
- Exposure to asset lifecycle information management systems such as ALIM, Documentum or OpenText.
- Experience supporting audits or compliance reviews in a document control capacity.
- Understanding of Asset Management frameworks such as ISO 55000 and how document control supports asset lifecycle and maintenance decisions.
- A foundational understanding of maintenance and data management principles.
- Experience using digital and AI-enabled tools.
- Demonstrable safety awareness.
- Exposure to SAP PM, CMMS/EAM, asset master data or asset-intensive operations.
